We’re seeking a Documentation Specialist to join our fast-paced and dynamic equipment finance company. This pivotal role involves preparing, managing, and executing financing document packages with precision and professionalism.
As a Documentation Specialist, you’ll collaborate with internal teams, vendors, and clients to ensure accurate and compliant documentation while delivering exceptional service. Responsibilities:
- Administration & Documentation
- Prepare legal documentation for financial transaction censuring conformity to approved terms and Essex’ standard security requirements.
- Upload documents and agreements to the DocuSign platform to obtain electronic signatures.
- Vet completed contract packages for accuracy and enforceability and co-ordinate vendor payments in a timely and efficient manner.
- Effect Personal Property Security Act registrations in various jurisdiction across Canada; perform searches, and obtain waivers as applicable, to confirm Essex is in a priority secured position.
- Request, verify, and maintain adequate insurance coverage on financed equipment.
- Accurately enter and post transactions into the portfolio management system.
- Assist sales force with obtaining required items for thorough preparation and completion of financial transactions.

- Keep up to date with changes and developments in the industries and the technology applicable to Essex.
- Be well-informed of changing rules and regulations pertaining to government legislation affecting the business unit and the industries which Essex serves.

- Maintain physical site and departmental security in accordance with departmental and corporate policies.
- Maintain strict confidentiality of Essex’s operations, customers and business partners.
- Identify and investigate any questionable situations/transactions to protect Essex’ position against possible loss.

Required Education and Experience:
- Prior Documentation and/or Lease/Loan Administration.
- 0 to 2 years of experience in a related field – bachelor’s degree preferred, but not required.
- Experience in the Financial/Leasing Industry would be considered an asset.
- Knowledge of jurisdictional PPSA registration systems and/or familiarity of contract law would be beneficial.
- Competent in the use of MS Word, Excel, Outlook.
